When you request an estimate or contact Vortex Exterior Washing, we may collect your name, phone number, email address, service address, services requested, project description, preferred estimate method, and any photos or files you choose to submit. We may also retain estimates, invoices, communications, appointment records, transaction details, and other information related to services you request or receive. Our website providers may process device, browser, IP address, and similar technical information needed to operate and protect the site.
How we use information
We use your information to respond to inquiries, evaluate properties and projects, prepare estimates, schedule and perform exterior cleaning services, communicate about appointments and invoices, process payments, provide customer support, and maintain business records. We may send promotional messages only where permitted by law and with any required consent.
Website technology and service providers
GoHighLevel and associated website, form, CRM, and messaging services are our primary tools for handling inquiries and customer communications. Historical customer records remain in QuoteIQ while we complete our transition to GoHighLevel; we intend to close QuoteIQ after confirming that necessary records have been preserved or migrated. We use Stripe to process customer payments. Payment providers may handle payment details in accordance with their own terms and privacy practices. Necessary hosting, email, security, and technical providers may also process data to operate our services.
Google Analytics and website cookies
Our website is being configured to use Google Analytics 4 (GA4) to help us understand visits, traffic sources, pages viewed, and website interactions. When enabled and permitted by applicable consent choices, GA4 may collect browser and device information, approximate location, interactions, and cookie identifiers. Our cookie banner offers essential-only, accept-all, and preference choices; whether those choices technically block or update analytics collection will be verified before the new site and analytics go live. We do not intentionally send customer names, email addresses, phone numbers, street addresses, uploaded photos, or estimate descriptions to Google Analytics. Photos and project images
Photos submitted with estimate requests are used to evaluate the requested work and communicate with you. We may also photograph or record exterior areas before, during, and after cleaning to document conditions and results. Where you accept our Contractor Agreement, its general photography and marketing authorization permits us to use project images, including before-and-after comparisons, in our website, portfolio, advertising, and social media, subject to applicable law. We make reasonable efforts not to display personal details such as street numbers, license plates, or identifiable people without appropriate permission. You can email [email protected] to raise concerns or request review of a published photograph. Merely uploading an estimate photo does not, by itself, grant us public marketing rights.
SMS and email communications
If you provide contact details, we may contact you about your request, estimates, scheduling, and services. Optional marketing communications will be sent only where permitted and with any required consent. You may unsubscribe from marketing emails using an available unsubscribe method. Sharing of information
We share information with service providers supporting our operations, including GoHighLevel, QuoteIQ while historical records remain there, and Stripe, as needed for estimates, communications, recordkeeping, payment processing, hosting, and security. Information may also be shared with people assisting in requested services, or when legally required. We do not sell customer contact lists as a standalone product. Optional analytics processing is described above; if we later add advertising tracking or materially different sharing, we will review and update this policy.
Retention and security
We generally retain customer contacts, estimates, messages, job records, photos, and related information for ongoing business and recordkeeping unless deletion is requested. We review verified requests and delete or de-identify eligible data, subject to applicable legal, tax, accounting, contractual, security, and dispute-resolution obligations. Data may remain in GoHighLevel, QuoteIQ during the transition, Stripe, or service-provider backups under their applicable retention practices. We use reasonable administrative and technical safeguards, but no method of storage or transmission is completely secure.
